Tōtika is a prequalification system defined by the construction industry itself. It’s goal is to allow contractors to pre-qualify once via a common standard, rather than have to pre-qualify separately for different clients.
The purpose of Tōtika is to confirm you have effective Health and Safety systems so that companies contracting your services can be confident you know what to do in that area.
It does that by asking you to answer a number of questions, and provide proof of your answers in a Tōtika submission, which is then assessed by an independent assessor. These assessors are appointed by CHANZ, who oversee the Tōtika programme.
The complexity and number of questions and proof required relates to the risk profile of your business. For single person operators, the requirements are quite straightforward, while large companies will need to prove they have well organised and managed systems in place. Unsurprisingly, for medium sized companies, the complexity is somewhere in the middle.
Coordinate aim to get an application submitted and assessed within 2 weeks of initial meetings, but this time frame depends on many factors, including how complete your current systems are and how organised your documentation is. If time is important we have a number of options to keep things moving effectively and we will discuss these as required.
It’s easy to underestimate the effort required to complete a Tōtika application and businesses often overestimate their ability to complete elements of an application. If we start a process and you’d like to change approach and have us pick up more of the work, you won’t be the first and we will be happy to help. There is always a risk of lost time doing this, so we will work hard to help you make the correct choice of approach initially.
Yes. These include ISO 45001 certification, and SafePlus assessment. Sam is a certified SafePlus assessor, so if this valuable approach is of interest to you, please do call Sam to discuss.
There are no additional costs other than those agreed upfront. We will either be giving you a quote for the entire piece of work, or we will agree each specific piece of work with you as we go. If, during the process we identify any extra work that might be beneficial to you, we might bring it to your attention, but this won’t be a compulsory activity
Yes, you can engage directly with a Tōtika assessing company. There are 4 of these. There is no cost advantage in doing so as we pass on assessment fees directly. Engaging directly will mean that Coordinate is unable to engage with the assessor during the assessment process so will be unable to affect the result. We are happy to work with you to develop your submission for independent assessment of course.
It is often quicker and easier for you to demonstrate proof of actions in an online platform than with paper copies of documents you need to get back from sites… and it makes it easy to create and deliver the forms we need for your business processes. We have a number of apps we work with that provide good traceability of various processes, and if we think it would be a good thing for you, we’ll tell you and explain why.
The choice to go with an app will always be yours, but many of our customers find that not only does it make things easier for getting Tōtika, but makes everyday Health and Safety significantly easier too.
Tōtika applications are assessed as either Leading, Performing or Developing. In most instances, a Developing grade will not allow you to work with a Lead contractor or agency, so we think of it as an unacceptable result. As Coordinate has deep Tōtika experience, we won’t submit an application that wouldn’t get at least a Performing grade, and this is where our relationship with the assessor is important as it can allow us to determine what proof might be required in unique or unusual situations.
